It's essentially Important to know your hotel choice's Reservation Cancellation Policy whether you are a Team, Athlete, Family or General Spectator we urge you to take a moment to locate and read the Cancellation Policy of all three hotel choices you will make on your Reservation Form Submission. When you submit your Reservation Form you are admitting a legal responsibility and acknowledgement that you understand and accept the particular hotels Cancellation Policy. PLEASE READ THEM BELOW
HOTEL CANCELLATION/ATTRITION POLICIES
FAIRFIELD INN DOWNTOWN
All reservations must be accompanied by a first night room and tax deposit, or guaranteed with a major credit card. The hotel requests that any reservations that are canceled/changed must be done 30 days prior to arrival. If reservation is canceled/changed within 30 days prior to prior to arrival, guest will be charged a cancellation fee per room night, originally booked, of $154.00 plus tax
COURTYARD DOWNTOWN
The individuals or teams agrees that if they cancel their sleeping rooms after the 22nd May, 2012, they will pay Hotel applicable room night charges, plus applicable taxes within 30 days after cancellation as a reasonable estimate of the harm the cancellation will cause the Hotel. Hotel agrees that after receiving this payment, it will not seek additional damages. All reservations must be accompanied by a first night room and tax deposit or guaranteed with a major credit card.
COURTYARD AKSARBEN VILLAGE
All reservations must be accompanied by a first night room and tax deposit or guaranteed with a major credit card. Reservations by attendees must be received on or before, May 22, 2012 (the Cut off Date). Any cancellations after this date will result in the per room night canceled based on the $149 rate for DD plus tax and or the $169 rate plus tax for King rooms.
MARRIOTT OMAHA
All reservations must be accompanied by a first night room and tax deposit or guaranteed with a major credit card. There are no cancellations under 30 days prior to arrival. Should any cancellations occur the individual/teams will be responsible for each room night canceled at the contract rate of $129 plus tax.
HILTON GARDEN INN DOWNTOWN
30 days prior to arrival rooming list is due and full non-refundable payment must be received. Team will be responsible for 80% of guest room payment should they cancel outside of 30 days. Cancellation within the 30 days will require payment in full.
HILTON OMAHA
You agree and understand that in the event of a cancellation or lack of performance by you, the hotel will suffer damages which would be difficult to determine. Therefore you agree to pay the liquidated percentages listed below:
364 days to 180 days 50% of lost revenue
179 days to 60 days 75% of lost revenue
59 days or less in advance of event 90% of lost revenue
Performance damages will be charged for any cancellations under 90% of the original blocked rooms.
PREPAYMENT for HILTON: All room and tax MUST be paid in full for all booked rooms no later than March 30, 2012. The credit card used for reservations will be charged unless other arrangements have been previously made with the hotel.
MAGNOLIA
Cancellation: In the event of a cancellation 0 to 90 days prior to arrival, liquidated damages in the amount of 90% of the sleeping room revenue will be due plus applicable taxes and service charges. In the event of a cancellation 91 or more days prior to arrival, liquidated damages in the amount of 80% of the sleeping room revenue plus applicable taxes and service charges.
Attrition: Group must produce at least 90% of booked sleeping rooms
EMBASSY SUITES DOWNTOWN
CANCELLATION: To secure rooms at the Embassy Suites Omaha Downtown/Old Market team reservations must be made on or before June 15, 2011. Each Team will be individually responsible for their reservations within the USA Swimming Olympic Swim Trials/Omaha Sports Commission Team block. Upon confirming reservations each team will be required to make a 25% nonrefundable deposit of estimated revenue in conjunction with scheduled stay. Each team will be responsible for 100% actualization of block within USA Swimming Olympic Swim Trials/Omaha Sports Commission Team block as of June 16, 2011. Each team will be responsible for full prepayment of remaining nonrefundable balance equal to 100% of estimated revenue in conjunction with scheduled stay on or before May 31, 2012.

DOUBLETREE DOWNTOWN
Billing Procedure/Payment terms for teams: Each team will contract with the hotel that list the following terms and conditions.
After contracting a 25% deposit will be due 18 months out from the event by the team representative.
Six (6) months prior to arrival, change in the current block will be accepted up to 10% variance.
100% payment will be due May 25, 2012
The cancellation deadline for all reservations is 5/24/2012; the advance deposits will be refundable. Any reservation and group block that cancel a confirmed reservation/group booking 5/25/2012 and there after will forfeit their 100% prepayment.
A 25% non refundable deposit will be due at the time reservations are made. Six months prior to arrival, change in the current block will be accepted up to 10% variance. 100% payment will be due May 25, 2012. This payment is non refundable.
REGENCY LODGE
No individual cancellations will be accepted after 5/23/2012. The cancellation fee will be 3 nights’ room and tax in such instances. No refunds after the 30 day cut off or arrival date. 100% payment up front for teams. 50% payment up front for individuals/50% upon arrival
DOUBLETREE GUEST SUITES
Full prepayment is required 30 days prior to arrival. Each team will be responsible to pay for 25% of entire hotel stay at time of making reservations. The balance will be charged 30 days prior to arrival. Cancellation is 31 days prior to arrival. Any reservations not cancelled 30 days prior to arrival will be charged for the entire stay.
COMFORT INN SOUTHWEST
7 day cancellation – if team or individual cancels within the 7 days, they will be charged one night room and tax.
CROWNE PLAZA
7 day cancellation – if team or individual cancels within the 7 days, they will be charged one night room and tax.
COMFORT INN ON DODGE
Any cancellation must be made 14 days before the day of arrival by 6PM or a one day charge will be assessed.
COUNTRY INN CARTER LAKE
Cancellation: 4PM 30 days prior to arrival. Any cancellations or early departures after this date and time will be charged the room nights plus tax to the method of payment.
COUNTRY INN COUNCIL BLUFFS
Any cancellation must be made 14 days before the day of arrival by 6PM or a one day charge will be assessed.

RESERVATIONS GUARANTEE: Room reservations must be guaranteed by the Cut-off date for the first night’s room and tax charges with a major credit card, advance deposit. Individual room reservations canceled 30 days prior to arrival date will receive a full refund. Cancellations received after the 30 days deadline will not be refunded. Individual must cancel reservation by May 23, 2012. After May 23, 2012 the full amount of the entire guest stay will be charged to their debit or credit card with no refund.

Cancellation Policy
A 25% minimum deposit of total charges must be paid upon blocking rooms. The balance of any amount owed must be paid in full on or before the event, unless special billing has been previously arranged and approved. Any deposit made before the event will be forwarded and removed from the final bill of the scheduled event.
Cancellation charges are the responsibility of the group and or individual confirming rooms. Once rooms are confirmed cancellation charges will be charged according to the following scale:

There is an early check-out fee of $50 plus tax to the account.
ADDITIONAL PERSONS
Additional persons will be charged at a rate of $10.00 per adult, per night with a maximum of four persons per guestroom. No additional fee for Children 18 and under, in the same room, with a maximum of four persons per guestroom. Each guestroom must have at lest one registered guest 19 yrs or older.

20% deposit is due upon making reservations...60 days prior to arrival a full non-refundable payment must be received. Individuals will be responsible for 80% of guest room payment should they cancel outside of 60 days. Cancellation within the 60 days will require payment in full.
PREMIERE SUITES
CANCELLATION CLAUSE
All cancellations or date changes must be made by the close of business on May 2, 2012. A non-refundable deposit equal to one nights’ room and tax must be received by the property by May 2, 2012. The deposit payment may be processed via Debit/Credit Cards or organizational/business checks will be accepted as long as they arrive by May 2, 2012; however, no personal checks will be accepted. Any cancellations or date changes made after this date will be charged a fee on one night’s room and tax.
SPECIAL ARRANGEMENTS
Upon check in to the hotel, individual groups or travelers will be responsible for all nights. There will be NO REFUNDS FOR EARLY CHECKOUTS OR DATE CHANGES AFTER CHECKING INTO THE HOTEL.
STAYBRIDGE SUITES
Any reservation and contracted team group block that cancel a confirmed reservation/group booking (5/23/2012 and thereafter) will be charged 100% of the anticipated revenue for their entire stay. All cancellations must be in writing and sent to Destination Phoenix via email to destphx@aol.com
A deposit of one night room and tax for each confirmed room will be due at time of booking.
An early check out fee of up to 50% of one night's rate may be incurred if check out occurs earlier than the check out date on the hotel reservation form that is signed by the guest upon check in unless notification of early check out is received 48 hours in advance.
TOWNEPLACE SUITES
CANCELLATION and ATTRITION
In the event of cancellation or attrition, the following charges will be incurred. In the event that the group within the USA Swimming block have actual usage less than 85% of the Total Room Night Commitment, individuals within the group will pay, as liquidated damages and not as a penalty, the difference between 85% of the Total Room Night Commitment and the actual usage, multiplied by the avg group room rate within their block. In the event of a group cancellation occurring 0 - 60 days prior to arrival, liquidated damages in the amount of 85% of the Total Room Night Commitment plus applicable taxes, fees and service charges will be billed to the individuals and or group planners whom reserved such blocks.

CANCELLATION POLICY
All Cancellations must be in writing and emailed to destphx@aol.com at least 30 days or more from date of arrival to avoid cancellation penalties of a minimum of 3 nights room plus tax plus fees of $100.

All reservations will be guaranteed with a credit card and provided to the hotel from Client. Client will be charged, in full, 30 days prior to arrival. Any cancellations made after this time are non-refundable. Hotel will not contact the client if the method of payment on file is not valid. It is the responsibility of the client to keep this billing up to date. If the method of payment if found to be not valid upon charging 30 days out, the reservations will not be honored.

CANCELLATION POLICY:
120-90 Days Prior to Arrival Liquidated Damages of 30% of total estimated revenue
89 - 60 Days Prior to Arrival Liquidated Damages of 50% of total estimated revenue

ATTRITION:
Must use 80% of total anticipated revenue. Should the group/individual not achieve 80% of the minimum revenue, group/individual will pay as liquidated damages to hotel the difference between 80% and the amount of revenue achieved by group/individual.
EARLY DEPARTURE FEE:
In the event that a guest who has reserved a room within this block checks out prior to the guest's reserved checkout date, an early departure fee of $199 will be charged to that guest's/group credit card that was used to submit the reservation.
